Customer Service Operations - Representative (w/m/d)

For the Operations Department at our Willich Headquarter near Düsseldorf, we are looking for an:

Customer Service Operations - Representative (w/m/d)

 

Your responsibilities:

  • Managing customer order process from factories and warehouses, including order registration, invoicing, shipments, payments and credit control and ensuring customer needs were communicated to the commercial teams and to CSO Logistics -Europe Team and Operations Management.
  • Acting as the liaison and facilitator between customer, commercial team, production, supply chain and other internal departments
  • Handling of customs-related documents and Terms and Conditions of Deliveries, including Incoterms
  • Responsible as the point of contact for all end-to-end operational requests from customers, addressing if necessary to other departments and following up until finding a solution with the customer, agreeing, and implementing with internal and external stakeholders.
  • Maintenance of customer master and material base data in the system
  • Ensuring the right and accurate prices and conditions on invoices and all necessary documentation
  • Creation of credit and debit notes
  • Preparation of monthly, quarterly and annual reports, analyses, forecasts and plans
  • Ensure required documentation for audits
  • Effective reporting to Toyo Management and customers

Your knowledge and experience:

  • 3-5 years experience in the field of customer service operations
  • High customer affinity and service readiness
  • Independent, structured and proactive way of working
  • Good self-organization and time management, accountability for overall view and satisfaction of assigned customers
  • Confident handling of MS-Office (especially Excel) and SAP knowledge
  • Fluent in German and English (written and spoken)

Special tasks:

  • Customer Relationship Management
  • Meticulous attention to details, dedication and professional acumen for increasing the delivery of goods, improving process efficiency and optimizing costs
  • Working as one team together with other departments in design of end-to-end-operation and customer facing processes in consideration of Needs and Priorities of Toyo Business and customers
  • Initiatively contributing own ideas in daily operations
  • Ensure acting in accordance with Toyo company culture and philosophy
